Position Summary
Performs highly complex (senior-level) strategic, administrative, and operational support to the Agency Head while managing the daily operations of the executive office. Supports the efforts of the Agency Head in providing quality leadership and oversight of cybersecurity objectives for the State. Required to handle confidential and sensitive information and communicate on behalf of the Agency Head with interagency personnel, government officials, industry executives, and other outside contacts. Works under minimal direction and supervision of the Agency Head with extensive latitude for initiative and independent judgment.
- Plans, directs, coordinates, and monitors administrative activities for the Agency Head and other executive staff, while maintaining strict confidentiality on sensitive business matters.
- Serves as the executive administrative liaison, procurement liaison, travel liaison, budget liaison and human resources liaison.
- Provide direction and guidance to contractors and TMD staff.
- Performs complex administrative duties such as maintaining calendars; scheduling meetings, interviews, and appointments; preparing various documents for distribution; attends meetings; and responds to telephone calls and inquiries
- Oversee and manage daily office operations to ensure an efficient, organized, and professional work environment. Responsibilities include daily meetings, schedules, inventory, establishing and maintaining files and databases.
- Coordinates and arranges travel requests and vouchers for Agency Head. Provides itineraries, transportation logistics, accommodations and conference confirmations. Maintains all travel-related instructions and resources; manages travel changes and logistics at night and weekends.
- Manages and provides the Agency Head with a daily agenda; prioritizes inquiries and requests while troubleshooting conflicts; makes judgements and recommendations.
- Manages and/or develops the planning, preparation, and dissemination of special reports, papers, letters, and memoranda.
- Coordinates and facilitates interagency administrative support activities with other support staff. Promotes and practices team concepts; assists in cross-training and utilizes the expertise of other support staff.
- Provides professional oversight and guidance to other occupations or support staff, including management-level staff, to ensure compliance with and adherence to regulatory standards and established procedures.
Other Job Functions
- Ensures agency staff are apprised of new and existing executive office administrative policies and practices.
- Maintains oversight of office supplies and equipment and prepares requisitions for supplies and services.
- Assists with the coordination of various projects and activities as needed or assigned.
- Assists with administrative support tasks such as large-volume mailings, receiving incoming materials, filing, etc.
- Evaluates budget requests, monitors budget expenditures, and adjusts as necessary.
- Performs related duties as assigned.
Education
- Graduation from an accredited four-year college or university. Experience and education may be substituted for one another.
Experience and Training Required
- A minimum of eight (8) years of successful, progressively responsible experience performing advanced administrative-level or office management work, at least four (4) of which included administrative or executive-level support to executive, upper management, or project management staff.
Experience and Training Preferred
- Experience providing administrative support in a State of Texas agency.

- Knowledge of State of Texas procedures, methods, principles, and practices.
- Familiarity with terms and concepts of cybersecurity.
